The Toronto office of Borden Ladner Gervais LLP (BLG) a leading, innovative and client-focused law firm in Canada, is seeking a Specialist, Talent Services. Purpose of the Role The Specialist, Talent Services, will be expected to assist the Talent Services team and Manager, Talent Services with all national workflows (related to employee life cycle) as well as reviewing and updating Talent Services processes to be aligned with business processed being implemented into our Talent technology system, Workday. The regional aspect of this role will be supporting Human Resources practices (inclusive but not limited to) participating in recruitment, hosting onboarding sessions, payroll administration for Toronto office, leaves administration for maternity/parental leave and expected to be onsite up to two days per week to support regional initiatives. Key Responsibilities The key responsibilities under Talent Services within this role are: Absence Management: Update absence data, when required in Workday Send communications to employees and managers explaining the relevant policies and confirming entitlement if required Send and receive any required forms from employees Create required letters or documents for certain leave types, e.g. maternity memo, secondment letters File documentation, e.g. medical Liaise with payroll and benefits where required Vacation tracking to reduce carry over & pay out Payroll Administration, Adjustments and Compliance: Run report to provide adjusted calculations to payroll Contract Expiry report generation Compliance course tracking & follow up Expired SIN/VISA tracking and follow up Termination and Off boarding: Update termination data in Workday and other off boarding systems Coordinate Exit interview process and create summary of feedback on a monthly basis to be shared and actioned Send Leaving BLG memo Digitally file exit interview note and update exit interview data in Workday, when required Create termination letters based on template if required and update info of termination meetings Provide payroll and benefits of any final payments Personal data Changes and Employee Files: Action some business processes into Workday and update data as required Create and file transfer letters and/or job change memos if required (based on template) Update other corporate systems to ensure transferred employee is on boarded and off boarded in local offices (e.g. new location ID, etc.) Performance Management: Initiate email notification to employees and professionals for 3/6 and annual review reminders Trigger reminder email of outstanding reviewers Generate progress reports to Regional Talent Managers to follow up Compensation and Bonus Review: Update new salary data in Workday Create salary letters for Regional Talent Managers Update compensation information in Workday, as required Talent Portal: Maintain and create contents of the Talent Portal Upload and ensure documents, policies and forms up to date General Inquiries: Respond to Firm members’ queries on Talent matters, reference to documents and information available Escalate cases to Talent Managers or members of the COE if required Manage queries to ensure responses are provided with agreed timeframe May act as the representative of National Talent Services at meetings as appropriate, providing regular communications to Directors and key stakeholders Capture and track in coming work on SharePoint or similar system to build a database that can be used to support future talent planning and focus areas Other projects as assigned Talent Projects: Participate in process improvement and talent technology, when required Support maintenance of future talent systems and and approved template changes The key Regional responsibilities under Talent Services within this role are: Lead Regional programs, inclusive but not limited to, Service Awards, Employee Appreciation Events and Take our Kids to Work Support Regional recruitment activities for co-op/intern & back ground check process Payroll administration for Toronto office Leaves administration for maternity/parental leave Contribute to adhoc regional activities as required Onsite 1-2 days per week Key Competencies 4 to 6 years of Human Resources experience in a professional services environment; law firm experience is considered an asset Working knowledge of HRIS software (Workday) considered an asset Bilingualism (French and English), oral and written, considered an asset Able to build a collaborative team-orientated culture Able to positively and effectively tackle problems, formulate solutions and engage with others to ensure active steps are taken Exercise sound common sense and good judgment Excellent written and oral communications skills Able to build and maintain positive relationships with individuals at different levels of seniority Ability to create credibility with professionals and staff at all levels Exceptionally client focused approach Able to set expectations for continuous personal and team development Excellent time management skills Ability to work independently and on teams (including cross functionally), take initiative and translate goals into priorities and actions Ability to thrive in fast-paced work environments with changing circumstances, including organizing, prioritizing, tracking action items and following up on multiple projects and other items Excellent attention to detail Self-motivated and driven to achieve success Works effectively under pressure Able to achieve strict deadlines Well presented with a highly professional manner Flexible Eager to learn from others and help others grow with you How to Apply We thank all applicants for their interest in this position, however, only applicants selected for an interview will be contacted. At BLG only those BLG members who are fully vaccinated against COVD-19 with a vaccine approved by Health Canada will be permitted to attend a BLG office or event. “Fully vaccinated” means having received the full series (usually 2 doses) of a vaccine approved by Health Canada, with more than 14 days having passed since the second dose was administered. “Attending a BLG office” includes attending social or business gatherings organized by the Firm, with limits on the number of attendees in accordance with public health guidelines. With respect to client meetings, only fully vaccinated members of the Firm can meet in person with clients (others can attend virtually), unless prior authorization has been obtained from BLG and the client. For any BLG member who is not fully vaccinated, and if the Firm requires your attendance in the office to perform your role, you must take a rapid antigen test conducted within the 24 hours prior to your coming to the office, and you must show proof of a negative test result.
