PRIMARY RESPONSIBILITY:

Reporting to the Executive Director, Student Health, Counselling and Wellness Services, this position provides administrative support and serves as the first point of contact for students that require services from Student Health, Counselling and Wellness Services.


SUMMARY OF DUTIES:

  1. Receives and directs in-person, email and telephone inquiries appropriately related to Health and Counselling Services in a professional and compassionate manner.
  2. Determine priority of scheduling and type of support or intervention required based on student’s presentation and conducts brief preliminary risk assessment for students presenting in distress.
  3. Utilizes scheduling software programs for both Health and Counselling to register new students, edit existing student data, and making appointments.
  4. Inform students of specialist appointments, x-ray, and ultrasound dates including preparation and special instructions prior to appointments.
  5. Monitors email account for health and counselling including providing referrals to university and community resources, answering service questions, and front-line response to complaints and concerns.
  6. Delegated by the Executive Director to assist with budget and expense claim processes.
  7. Organize and promote departmental program, initiatives, and events by establishing and maintaining communications via mailing lists, creating, and preparing print materials, organizing meeting rooms, and catering services, and assisting in planning if needed.
  8. Update and editing of website content.
  9. Other duties as assigned.

ESSENTIAL QUALIFICATIONS:

The successful candidate will have:

  • College Diploma in Medical Office Administration / University degree in a related field and/or experience as it relates to the duties of the position
  • Successful completion of a certificate, course or program in suicide risk assessment, crisis counselling, or crisis intervention (e.g., Applied Suicide Intervention skills Training, crisis line volunteer), and/or Non-Violent Crisis Prevention and Intervention course or willingness to obtain
  • Ability to communicate professionally and effectively (written, oral, electronic, phone), exercise active listening skills, patience, judgement, and discretion when dealing with students, faculty, staff, parents, and the general public
  • Strong ethics of student services consistently demonstrate a warm, compassionate, and calm reception to clients and others, despite high volume and multi-tasking work under pressure
  • Experience with current computer software (e.g., MS office) and data management systems, including generating reports, performing data queries, maintaining databases (e.g., spreadsheets)
  • Demonstrated knowledge of/or ability to become proficient in specialized student record management and scheduling/database software (e.g., PS Suite, Titanium)
  • Ability to maintain strict confidentiality, integrity, discretion, and diplomacy
  • Ability to work independently as well as a team player
  • Strong organizational skills, multitasking, problem solving, attention to detail and analytical skills
  • The ability to work well with a diverse student, faculty, and staff community
  • Experience working with websites (e.g., Drupal)
  • Knowledge of budgets and a financial accounting system (e.g., UWinsite Finance)

PREFERRED QUALIFICATIONS:

  • Prior experience working with a young adult population and/or in a post-secondary environment
  • Prior experience working in a counselling, mental health, or primary care medical office
  • Familiarity with University of Windsor services and programs and preferably some familiarity with community referrals
  • Familiarity with Windsor Hospitals, Urgent Care Clinics, Diagnostic Imaging, and Laboratory locations
  • Familiarity with insurance plans for international, out of province, and Ontario students

THE FOLLOWING TESTS WILL BE ADMINISTERED:                                                                                       

MS Word (Basic Level), MS Excel (Basic Level); Typing (40 NWPM)


HOURS OF WORK:
