Position Purpose

Coordinates the processes related to front-line services and operational processes involved in planning courses and implementing course schedules, exams, and teaching and course evaluations by directly supervising personnel working in the Office of Undergraduate Studies and serving as their primary contact. Finds solutions to special requests and adopts a positive, professional attitude to seize opportunities to review, develop, and implement best industry practices in order to foster a harmonious team environment.

Essential Qualifications

In-depth knowledge of high school, collegiate, undergraduate and graduate academic programs, combined with at least five years’ work experience in an academic setting
Knowledge of administration normally acquired through post-secondary training and several years’ experience in a similar role.
Experience in leading a team in a constantly changing environment
Experience in delivering customer services
Experience in interpreting, communicating, and implementing processes, policies and procedures
Practical experience in using Microsoft Office suite, Windows, Internet browsers, the student information systems, Talisma and email
Ability to deal with conflicting priorities and meet tight deadlines in a fast-paced work environment
Ability to focus in an open, stimulating environment that features multiple interruptions at any time
Ability to manage many files with attention to detail
Ability and willingness to take decisions that could affect students, department professors or support staff
Proven ability to exercise tact, diplomacy, discretion and good judgment
Bilingualism – French and English (written and spoken)
Knowledge of University processes and administrative structures is an asset
Experience in collecting and analysing data, and in writing administrative and statistical reports
Experience in implementing strategies and activity plans aimed at students
Excellent communication skills in order to fully understand student and employee needs
Excellent organizational skills
Organizational and analytical skills, good judgment and attention to detail
