Purpose of Job 
The Mortgage Accounting Clerk (MAC) is responsible for providing administrative support to the Broker Mortgage Unit (BMU), Scotia Mortgage Authority (SMA), and National Mortgage Sales (NMS, in a manner consistent with ScotiaService standards and Complaint Resolution Standards and Procedures. The MAC role is to ensure a high level of service is provided to Mortgage Fulfilment Officers (MFOs), Broker Relationship Managers (BRMs), Solicitors and ultimately the end customer by processing entries in a timely and accurate manner. The incumbent will post, control, check, verify, investigate and balance entries to the Message and Payment System (MAPS), General Ledger System (GL), Forms Free Teller (FFT), Term Loan Systems (TLS) in conformity to Bank regulations and procedures.

 

MAJOR ACCOUNTABILITIES 
1.    Assist in the administration of the BMU Accounting responsibilities by: 

Acquiring and maintaining a good knowledge of all accounting functions and a thorough knowledge of the operation of systems for accounting functions (e.g., outgoing wire payments, posting TLS entries, posting GL entries, data integrity checks), this includes acquiring and maintaining a thorough knowledge of the Mortgage Fulfilment System (MFS), Term Lending System (TLS), MAPS, MIMS, and processes and a detailed knowledge of the posting worksheets, GL postings and FFT systems; 
Reconciling all entries as advised by the Centralized Accounting Unit (CAU), MFOs, lawyers, branches and your supervisor on a daily basis, and preparing corrections as required; 
Preparing/checking entries and input documents as required; 
Accurately processing, posting and maintaining the daily transactions originated by Mortgage Fulfilment Officers and others; 
Verifying the accuracy and completeness of transactions and non dollar maintenance data as posted by others, and documenting errors for subsequent correction; 
Preparing reports and returns as required; 
Providing trending information to your supervisor concerning errors and omissions; 
Prepare and issue all mortgage related statements and quotes to required parties 
Process payouts of term loans both secured and unsecured 
Payout and Closing of all retail accounts 
Discharge security as required 
 

2.    Provide service to the MFOs/Brokers/Broker Relationship Managers/Solicitors and ultimately the end customer that is consistent with ScotiaService standards by: 

Taking full responsibility for assigned Solicitor/BRM/Branch enquires, concerns and complaints by resolving those matters with assigned timeframes and standards, and logging of complaints in PQS database 
Maintaining the confidentiality of customer information; 
Providing guidance to Branches/MFOs as required, when clarification of processes is required in order to reduce the number of errors; 
 

3.    Maintain strict adherence to security procedures by: 

Maintaining all negotiable items, stamps, keys and passwords consigned to custody in accordance with Banking regulations and within assigned limits; 
Adhering to established Bank regulations and procedures within assigned authorized limits and responsibility. Reporting any unusual occurrences of fraudulent activity to your supervisor; 
Ensuring that any exception items and/or conditions are escalated to your supervisor along with required action/action completed each day; 
 

4.    Performing other related sundry duties as required.

Thorough knowledge and understanding of accounting procedures and a thorough knowledge of GL/TLS and FFT related systems. 
Ability to handle high volumes within strict timeframes; 
Good PC, time management and organizational skills 
Ability to work independently and as a member of the team 
Good understanding of Standard Banking and FFT systems 
Good knowledge of Bank regulations, policies and procedures; 
Must be flexible in a constantly changing environment (procedural and automated systems)
