SUMMARY:
We are looking for a terrific Office Coordinator to provide excellent administrative support to the Manager, Office Experience and help create a consistent and positive experience for all employees and external visitors at our Mount Royal Block Corporate location. The Office Coordinator will be responsible for greeting and directing all guests and visitors, onboarding new hires, and assisting with invoices, budgets, and any special projects. The successful candidate will bring a friendly and positive attitude with strong organizational and planning skills and problem-solving abilities.

PRIMARY RESPONSIBILITIES:

  • Provide administrative support to the Manager, Workplace Experience.
  • Respond to incoming calls, directs callers to the proper individual/teams and answer to inquiries.
  • Sort and distribute incoming mail, and interoffice mail.
  • Manage security access card system and ensure documentation is current and accurate.
  • Conduct Fire Safety and Emergency training and drills as a key member of the Health and Safety committee team.
  • Handle the ordering of all office supplies.
  • Organize various events for staff and ensures coffee and beverages are stocked.
  • Handle all maintenance issues within the office.
  • Coordinates with managers regarding space planning or new employee setup.
  • Updates office floor plans and health and safety plans.
  • Organize new hire packages for all employees.
  • Participate in special projects and take on other duties, as assigned.

KNOWLEDGE, EXPERIENCE AND SKILLS:

  • Proficiency with Microsoft Office.
  • Strong team player with a focus on team goals.
  • Well-developed communication and organizational skills.
