Opertations Administrator 

We are looking for a Operations Administrator to work within the Burlington office to serve our ever expanding client base. The successful candidate must be able to apply their customer service, administrative, and coordination skills.

The responsibilities of the role include:

Telephone Support / Dispatch Assistance

  • Provide telephone support.
  • Assist with dispatch of appropriate technician to resolve site issue(s).
  • Assist with management of ongoing Preventative Maintenance for clients.
  • Assist with Technician scheduling/coordination – including projections

Financial Administration

  • Accounts Receivable Service billing, Contract billing & management of contracts.
  • Create and print the WIP or Outstanding Work Order lists monthly
  • Creating purchase orders and work orders as needed.
  • Set up of new Contracts in Accounting Software.
  • Data Entry of Accounts Payables invoices – matching packing slip to bill/verify/correct to Purchase orders and post in Accounting Software.
  • Compare Accounts Payable monthly statements to Accounting Software and make appropriate reconciliations.

Other

  • Tracking of Technician’s hours.       
  • Checking Technician GPS vs. Timesheets prior to Payroll.
  • Mail and courier – incoming and outgoing.
  • Filing of all relevant paperwork in the appropriate files including invoices and contracts.
  • Ordering of Office Supplies.
  • Shipping and receiving parts and material.
  • Fleet management assistance.
  • Other duties as deemed necessary.
  • Communicate effectively with managers for other tasks that may be asked of you.
  • Support the administration team with Health & Safety requirements 

The successful candidate will possess the following:

  • Proficient in Microsoft Word, Microsoft Excel, Outlook
  • Previous Dispatch/Customer Service Experience
  • Positive attitude and desire to learn
  • An understanding of Accounts Payable and Accounts Receivable
  • Strong problem solving and critical thinking
  • Jonas Software. (An asset)
  • HVAC/BAS Knowledge. (An asset)
