SUMMARY 

The Project Controls & Team Lead documents standardized methods, procedures and best practices, continuously improves upon tools and processes, provides and/or coordinates ongoing training required by the business for Project Managers, Team Leads, team members, new staff, and establishes regular communication / project reporting protocols with account directors. In addition, this role provides people leadership to account level Project Coordinators and Administrators.

The Project Controls & Team Lead also oversees the data quality related to projects and programs as required. The incumbent also has responsibility for championing the documenting, rolling-out and training of any process and system improvement activities.

KEY DUTIES & RESPONSIBILITIES 

People Leadership

Demonstrates strong, competent leadership for direct reports to guide them in reaching their full potential and meeting their objectives, which supports achievement of our corporate goals. Specifically, these responsibilities include but not limited to:

  • Provides mentoring, coaching and guidance to direct reports.
  • Objectively recommends compensation adjustments.
  • Manages all aspects of performance.

Team Engagement

Create team synergy through structured regular communications with team & communication with Project Managers and Directors:

  • Coordinate mentorship with new team members.
  • Monthly team meetings.
  • Meetings and collaboration sessions with client team members in areas of project process and systems.
  • Maintain and update on-boarding process and procedure.  Provide on-boarding support for new team members team integration.

Team Training

Provide and/or coordinate ongoing training as required by the business, for example:

  • Lead adoption to any new process/ tools – super user.
  • Training on any new processes/tools rolled out by the business.
  • Create training manuals/documentation/framework that can be used for new staff.
  • Keep apprised of any external training (or that offered through BGIS corporate) that may be useful/relevant and coordinate for team members.
  • Effective communications to foster sharing of information amongst team members with varied experience.
  • Competency Matrix – update team competency skills on tracker as new team members join or team members complete training.

Process, Controls and Data Analytics

  • Collaborates with relevant stakeholders to ensure data integrity of operations data within applicable databases for assigned account.
  • Identifies solutions to implement changes in internal processes and technologies for the assigned account.  Collaborates with the account and product line team to implement changes.
  • Supports process improvement efforts.  Conducts business process audits and analysis to determine process effectiveness and to identify areas for improvement. Participates in the review, development and refinement of business processes.  Leads the implementation, facilitates the adoption of processes and monitors for compliance for the assigned account.
  • Working alongside teams within the business or the management team to establish business needs.
  • Defining new data collection and analysis processes.
  • Work closely with Project managers and Directors to understand and maintain focus on their analytical needs, including identifying critical metrics and KPIs, and deliver actionable insights to relevant decision-makers.
  • Define and implement data acquisition and integration logic, selecting appropriate combination of methods and tools within defined technology stack to ensure optimal scalability and performance of the solution.
  • Evaluate internal systems for efficiency, problems, and inaccuracies, developing and maintaining protocols for handling, processing, and cleaning data.

Quality Management

Continuously improve upon tools and processes used account team:

  • Integrate new processes/tools rolled out by the business.
  • Oversee the Quality Management (ISO) Processes by create new processes and update existing, including sub-processes, work instructions, etc. in collaboration with Directors and Project Managers.
  • Provide training and updates for ISO processes as required.
  • conduct desktop audits; update processes with Director’s and Project Manager's assistance when needed; prepare for and attend Internal Audits and Quality meetings; prepare and attend external audits.

KNOWLEDGE & SKILLS

  • Experience as a Project Coordinator.
  • Advanced Knowledge of MS Project, Excel and PowerPoint.
  • Hands-on experience working with MS project tools: SharePoint, Excel, Word, Power Point, MS Project and Visio.
  • Organizational, interpersonal, and communication skills.
  • Demonstrate autonomy, initiative, accuracy and precision.
  • Organizational skills with the ability to handle multiple concurrent activities and to work successfully under pressure.
  • Ability to manage priorities while taking direction from several managers and communicate effectively to manage workload and expectations.
  • Able to manage one’s time while assisting other team members and multiple projects with tight deadlines.
  • Strong analytical, statistical and organizational skills.
  • Track record of preparing both “detailed” and “management level” reports.
  • Bachelor’s degree in relevant business administration program or equivalent experience.
  • Knowledge of laws governing construction contracts and contracting is beneficial.
  • Available to work flexible hours.
  • Possess a “Yes…and” attitude.
  • Ability to thrive in a fast-pace and changing environment.

Licenses and/or Professional Accreditation

  • Valid drivers license and access to vehicle.
  • PMP is an asset.
