Your Opportunity

Oversee the travel program by maintaining strong working relationships with external vendors and internal department administrators. Source and make recommendations for preferred travel partners and vendors. Prepare and maintain analytic reporting and anticipate industry trends. Contribute to the development of best practices, compliance tracking and supporting policies. Ensure superior customer service when responding to employee travel questions, escalating concerns as appropriate.

Your Key Responsibilities

  • Monitor the travel mailbox and answer queries from employees regarding travel policies, practices, and travel management company questions
  • Maintain strong working relationships with departmental travel and/or administrative assistants
  • Source vendors for all travel categories (Air, Car, Hotel) and Meeting & Events
  • Maintains documented business policies and procedures
  • Captures travel and expense data for departmental dashboards and creates custom reporting
  • Identify, recommend, and implement process changes
  • Provide trend analysis and data analytics to measure compliance with T&E Policy, use of preferred vendors, and measure online vs agent bookings
  • Communicate directly with Employees and assist them with processing their travel questions, escalation, and requests
  • Assist in departmental management with adhoc projects / works as and when necessary, undertaking additional reasonable duties / responsibilities as requested

Qualifications

Your Capabilities & Credentials

  • Superior customer service skills with a commitment to teamwork through relationship building and collaboration
  • Fluency in English (Working French language would be an asset)
  • Strong computer skills are required: MS Word, Excel and Outlook
  • Strong administrative, coordination, and troubleshooting skills with an effective customer-service orientation
  • Proven ability to relate and effectively work with a diverse group of professionals, both at practice and corporate level
  • Must be able to understand and enforce company policies and practices
  • Strong interpersonal skills and must have the ability and maturity to manage highly sensitive and confidential information with poise, tact, and diplomacy
  • Ability to adapt to and assist with organizational and situational changes in a fast-paced global team environment
  • Demonstrate effective time management skills and the ability to manage multiple tasks with changing priorities
  • Must be able to work independently and be a self-starter

Education & Experience

A minimum of 2 years of experience in the travel industry (airlines, rental car, and hotel programs)
