JOB OVERVIEW: ADMINISTRATIVE ASSISTANT, INTERNATIONAL

Provides administrative support for the office of KPU International.  Performs administrative support tasks for the KPU International office including first point of contact reception duties. Ensures effective admissions and advising support and effective daily operations. Provides administrative support for the Divisional Business Manager, KPU International.

EDUCATION AND EXPERIENCE

•    Diploma required. Bachelor degree preferred. Combination of education and working experience will be considered.
•    Minimum two years of previous administrative experience in a post-secondary environment is recommended. 
•    Minimum one year of experience working with international clients and an understanding of the needs of international students is strongly preferred.

QUALIFICATIONS

•    Demonstrated ability to communicate effectively in English, both verbally and in writing. 
•    Full fluency in a second language from KPU’s target markets is considered an asset. 
•    Successful experience working in a confidential environment.
•    Have a general knowledge of post-secondary education with particular reference to organization, terms and titles in common use.
•    Demonstrated ability to work both independently and as a member of a team.
•    Proven ability to work in a fast-paced environment.
•    Proven ability to meet changing priorities, multitasking, meeting deadlines and making responsible decisions while maintaining high levels of customer service.
•    Demonstrated awareness and sensitivity to the cross-cultural communication requirements of international students.
•    Demonstrated ability to respond to inquiries and complaints, and resolve issues in a timely and appropriate manner.
•    Excellent interpersonal, organizational, planning, coordination, problem-solving and follow-up skills.
•    Be able to meet and deal effectively with people of all ages and backgrounds in an information-exchanging situation.
•    Demonstrated ability to manage the multiple demands of a large division.
•    Ability to establish priorities for work assigned or accepted on knowledge of policy and practices and/or understanding of the nature of the work of the Division.
•    Demonstrated ability with integrated computer technologies including MS Word, MS Excel, MS Access, email (Outlook preferred), and internet.
•    Demonstrated ability to independently draft correspondence and reports of a routine nature based on knowledge of established style and practices.
•    Demonstrated ability to create and maintain tracking systems.
•    Experience with preparing and organizing meetings. Demonstrated ability to create agendas, record and distribute minutes.
•    Experience with effectively maintaining electronic calendars, including creating and maintaining appointments, reminders of commitments and tasks as well as preparing and organizing materials for such.
•    Must be able to travel and/or work at various campuses when needed; valid driver’s licence is recommended.

This position is a hybrid position, with 2-3 days on campus and the rest from home.
