The Role

We are currently searching for an Administrative Assistant – Real Estate reporting to the Director, Real Estate & Construction. This is a Full-Time Permanent opportunity.

 

Location: Remote/Hybrid Flex work will continue indefinitely! Our staff based out of corporate office have not returned to the site at this time, however staff will continue to work remotely with visits into the office on an as-needed basis depending on their role and function. Corporate office is located in Bolton, ON.

What You’ll Be Doing

  • Responsible for the input of all leasing documents and notices into the TBS/BDL lease administration software (ProLease) to ensure the information is kept current
  • Administer and maintain the Real Estate and Construction pipeline to ensure the information is most current and communicated monthly to Operations and all other internal departments
  • Ensure that all Contractors are ISN certified and in good standing, and compliant with WSIB for low-risk contractors
  • Assist in the collection and filing of all Health & Safety and Insurance documents for low-risk contractors across the province
  • Support the Project Coordinator with the AGCO process relative to area mapping
  • Track the Snow Removal/Landscaping certificates of insurance and contracts
  • Communicate effectively to Landlord/Property Management on items in need of repair and follow-up to completion, ensuring Operations is informed along the way
  • Support Project Coordinator by inputting and tracking of all expenditures for capital projects and maintenance spend, as required
  • Processing all purchase orders, requisitions, and invoices through SAP in a timely manner
  • Prepare analysis and reports as requested by various departments
  • Perform other related duties and projects as assigned

 

Who You Are - Your Knowledge, Skills & Experience

  • Post-Secondary Education in Business, Project, or Lease Administration
  • Minimum of 2-years working experience in a real estate, property management or construction office
  • Experience with processing invoices, applying the applicable account codes, and entering into the SAP system
  • Strong communication and Microsoft Office (Outlook, WORD, Excel, and PowerPoint) skills are essential
  • Lease experience/extrapolation skills as it relates to lease abstracts and CAM/Property Tax reconciliations
  • Knowledge of commercial leasing and/or construction processes
