Duties and Responsibilities

Reporting to the Manager, PFFC/LAC, the Coordinator, Events – LAC, will assist with the planning and execution of events at the Living Arts Centre. This includes, but is not limited to, the following duties:

  • Advance and coordinate LAC events, including commercial, community, and City programming
  • Assist in compiling budgets, estimates, and letters of offer for potential new shows (as requested by the Manager)
  • Secure event bookings using internal Sharepoint and CLASS systems; maintain program databases
  • Review, edit and execute contracts
  • Coordinate the logistics of approved contracts and riders; liaise with internal departments and external parties to advance performance and special events operations including finance, hospitality, travel, accommodation, FOH and merchandise; prepare show settlements; write post-show reports; monitor and operate within an approved show/event budget
  • Serve as the main point of contact on show days for non-technical operations 
  • Liaise with the marketing department to support the preparation of marketing materials and promotion of the show/event, support grant funded programs and other partnerships as required
  • Assist in advancing special events and coordinating the logistics
  • Provide administrative support as directed
  • Perform other duties as assigned

Skills and Qualifications

The ideal candidate will possess the following qualifications:

  • University degree or College diploma in Arts Administration/Event or Hospitality Management; Performing Arts/Entertainment or related field or combination of education and related experience
  • Production experience an asset
  • Experience working with artists, production managers, agents and the general public
  • Experience creating and working within an approved program budget
  • Familiar with theatre environments and experience coordinating artist and production logistics
  • Exceptional project planning and great attention to detail with the ability to deliver high-quality work and achieve results in a timely manner
  • Excellent interpersonal, communications skills (written & verbal) and problem-solving skills
  • Possess superior multitasking and administrative skills that can manage several large-scale events
  • simultaneously
  • Experience programming performing arts productions for children, families and adults is an asset
  • Relevant experience in the logistical support of theatre performances and/or events
  • Sound knowledge of occupational health and safety requirements as they apply to the performing arts
  • environment
  • Understanding of technical requirements including staging, lighting and sound an asset
  • Requirement to regularly work outside standard normal business hours
     

Hourly Rate/Salary: $ 34.81 - $ 46.41
