The Assistant to the Chief Financial Officer serves as the first point of contact for the Finance and Administrative Services Department, as a back-up resource/additional contact to the Vice President, Finance and Administration, and as a back-up resource/additional contact to the Executive Assistant, Board of Governors for deliverables related to the Audit and Risk Management Committee of the Board of Governors.

The Executive Assistant provides a wide range of high-level administrative and secretarial support in a busy, dynamic and highly confidential environment. The incumbent must demonstrate confidentiality, trust, discretion, the ability to make decisions, and diplomacy in all interactions.

The position is accountable for contributing to the effectiveness of the Office of the Chief Financial Officer through the provision of administrative support and secretarial services.  This position includes the performance of administrative liaison, providing a wide range of administrative and executive services on behalf and in support of the Chief Financial Officer.  

The incumbent has total familiarity with the departmental areas of the College that fall within the Chief Financial Officer’s scope and is able to dialogue effectively, using tact and discretion when liaising with personnel at all levels, including but not exclusive to; Human Resources, Ontario Colleges, Ministry officials, community stakeholders, external auditors and legal counsel.

Required Qualifications:

  • Two (2) Year Diploma / Degree in Office Administration or a Secretarial Arts program

  • Up to five (5) years of related progressive work experience is required at the time of hire (ie: Departmental Secretary or Administrative Assistant).

  • Experience supporting Board of Governors committees.

  • Extensive working knowledge of a wide range of software to produce reports, correspondence, web site maintenance, and other documentation.

  • Conflict resolution skills are necessary in order to deal with day-to-day problems and/or complaints on behalf of the Office of the Chief Financial Officer.

  • Tact, discretion and the ability to use sound judgment when dealing with sensitive and confidential matters.

  • Well developed planning, organizational and time management skills.

  • Ability to deal with difficult people.

  • Knowledge and comprehension of College policies and procedures.

  • Ability to gather information, analyze, evaluate, formulate and recommend appropriate courses of action.

  • Excellent verbal and written communication skills and highly developed minute taking/writing skills.

  • Strong computer skills; knowledge and experience with Windows, MS Suite (i.e. word processing, spreadsheets, PowerPoint).

  • Excellent knowledge of email and calendar software, as well as the College’s ERP system.

  • Ability to solve problems, handle pressure, meet deadlines and to apply guidelines and procedures.

  • Sound knowledge of College programs, academic, administrative and organizational structures, including college decision making process.
