About the sector:
The Student Affairs sector of the University of Ottawa will open a new Student Health and Wellness Centre in May 2022. The center will provide access to a multidisciplinary team of health professionals including physicians, nurses, psychotherapists, psychiatrists, and a psychologist working together in a shared care model.  The Centre will provide timely access to health care and services focused on mental health, prevention and health promotion catering to the University of Ottawa's student population. This initiative will provide many opportunities for professionals to work in this dynamic new environment.

Position purpose:

Reporting to the Clinical Manager:

The Health and Wellness Officer (HWO) plays a critical role in the Student Health and Wellness Centre (the Centre) by providing front-line customer service to students and visitors of the Centre while ensuring the smooth running of services like reception, registration, management of appointments, billing, communications, and student accounts. Additionally, HWOs are expected to handle sensitive information confidentially and with professionalism and tact.

In this role, your responsibilities will include:

  • Welcome and register students in accordance with established guidelines, policies and procedures while ensuring professional ethics.
  • Schedule, confirm, and cancel appointments. Provide students with information and referrals to services available in the community when required.
  • Assist students with initial paperwork including completing demographic and personal information questionnaires and updating the student file in the Electronic Medical Record (EMR).
  • Prepare reports, invoices, financial statements, letters, case histories and medical records.
  • Receive/Send requests for consultations and investigations from health care providers, maintains up to date pending test reports and monitors pending tests and referrals
  • Collect payments from students by methods of payment accepted by the Centre, issue receipts and make deposits in accordance with established policies and procedures and verify insurance coverage and assist with the billing and processing claims
  • Complete referrals made by health care providers to specialist outside of the Student Health and Wellness Centre.
  • Coordinate and process all incoming and outgoing communication regarding to referrals, scheduling of appointments and follow-up as required, test results and other confidential documentation
  • Perform clerical and administrative functions

What you will bring:

  • Post-secondary training in medical administration / secretariat or an equivalent combination of education and work experience.
  • At least two (2) years of demonstrated experience in a similar role.
  • Experience with an Electronic Medical Record system (EMR) (i.e. Telus, PS Suite, OSCAR, Purkinje)
  • Experience in a medical clinic or in the health field (asset).
  • Experience in frontline customer service.
  • Strong interpersonal and communication skills.
  • Experience working in an environment requiring the exchange and protection of highly confidential information.
  • Discretion.
  • Reliability and good judgment.
  • Excellent organizational skills.
  • Ability to produce high quality work under pressure while meeting tight deadlines.
  • Knowledge of computer systems and software, including financial systems, spreadsheets, databases, internet and email.
  • Excellent problem-solving skills.
  • Demonstrated ability to work both effectively as a member of a team and independently.
  • Excellent time management and prioritizing.
  • Ability to handle difficult situations with professionalism.
  • Elevated work ethic.
  • Bilingualism (oral and written expression).
